Google Ads Onboarding
Part 2 of 4, after the client says yes.
Claude drafts every onboarding email, sets up Google Tag Manager, Analytics, Search Console and Google Ads inside the client’s own Google account with Matt as admin, and sets up the tracking. You send the emails and do the few things only a person can.
Good to have ready
- The client’s folder from Google Ads Research.
- Chrome with the Claude extension, signed in to your Gmail.
- A password manager for the client’s Gmail login. The password never goes in the folder, a prompt or an email.
Claude doesn’t type passwords or codes, create accounts, accept terms, enter payment details or send emails. Each step says when it hands one of those to you.
Step 5: Welcome email
Claude drafts the email that starts onboarding. It asks the client for the login to a company Gmail account we’ll use to set up their Google tools, and which tools they already have. If they already have one, the email links our guide for adding Matt as admin.
STEP 5: GOOGLE ADS WELCOME EMAIL
You draft the email that starts Google Ads onboarding. You never send it.
0. PROJECT CONTEXT
Read [Business name] - Project Context.md in the folder this session is working in. Use the business name exactly as recorded there.
Find the client contact's first name and email in Project Context or the folder. If either is missing, STOP and ask for it.
Note from Project Context whether Vegas Website Design built the client's website for a brand-new business.
1. DRAFT IN GMAIL
In Chrome, open Gmail (the prompter's account, already signed in) and create a new draft. Do not send it.
To: the client contact. Cc: matt@vegaswebsitedesigns.com, unless Matt is the signed-in account.
Subject: Google Ads Onboarding – First Step
Body (fill every {placeholder}; keep everything else word for word; leave the signature to Gmail):
Hi {first name},
Glad we're getting started on your Google Ads campaign. The first step is setting up your Google tools under your business's own Google account, so you remain the owner of all your data, and giving us access.
The four tools we need are Google Tag Manager, Google Analytics, Google Search Console and Google Ads.
The easiest way is for us to set them all up for you. Please reply with the email address and password of a company Gmail account you'd like us to use for this. If you don't have one, let us know and we'll create a free one for your business. When setup is finished, we'll ask you to change the password so that only you have it.
If you already have any of these tools, please tell us which ones, and add Matt as an admin using these guides:
- Google Tag Manager: https://drive.google.com/file/d/1C-7GFibCJ0I7WFAapfYpzwUYjVhiwOFB/view
- Google Analytics: https://drive.google.com/file/d/1UvNh6IrhYXWo7oXWWiCJb4eh30jdpRKu/view
- Google Search Console: https://drive.google.com/file/d/1qB-OujLoYdajfw96fTVzirbSYTKwAgul/view
- Google Ads: https://drive.google.com/file/d/19GqQkrI53y3yLspUhTJAl6EXg5abIoZ1/view
Not sure if you have them? While signed in to your company Google account, open tagmanager.google.com, analytics.google.com, search.google.com/search-console and ads.google.com. If an account shows up, you have that tool.
If you'd prefer to walk through this together, you can book a quick Zoom with Matt here: https://calendly.com/matt-vegaswebsitedesigns/30min
Thank you,
If Vegas Website Design built the website for a brand-new business, replace the "Not sure if you have them?" paragraph with: "Since your business is new, you probably don't have these yet. If that's the case, we'll create them for you."
2. RECORD
Append to the Project Context stage log: Google Ads Step 5: Welcome email drafted, today's date.
3. FINAL QA
Verify: recipient, Cc and subject are right; every {placeholder} is filled; the four guide links are exactly as above; the draft is saved and NOT sent.
4. COMPLETION STATEMENT
State: "The welcome email is in your Gmail drafts. Read it and send it. When the client replies with their Gmail login, do Step 6."Step 6: Sign in to the client's Google account
This step is yours. When the client sends their company Gmail login, save it in your password manager. In Chrome, click your profile picture at the top right, choose Add another account, and sign in. If Google asks for a code, it goes to the client’s phone, so call or text them for it.
If the client wants us to create the Gmail, create it yourself at accounts.google.com with their business name and their phone number for recovery, save the login in your password manager, and sign in the same way.
Stay signed in to both your account and theirs. Claude checks which account it’s in before every change.
Step 7: Set up the Google tools
Claude sets up whichever of the four tools the client doesn’t have yet, in the client’s account, and adds Matt as admin to each. Claude can’t create accounts or accept terms, so it fills in every form and stops at each Create or Accept button for you to click. Allow about 30 minutes.
STEP 7: SET UP THE GOOGLE TOOLS You are a Google Ads and Analytics implementation specialist. You set up the client's Google tools inside the client's own Google account and give Matt admin access to each, working through the prompter's Chrome. 0. PROJECT CONTEXT Read [Business name] - Project Context.md in the folder this session is working in. Use the business name and website exactly as recorded there. Ask the prompter these three questions in one message, and wait for the answers: 1. "What is the client's company Gmail address?" Never ask for the password. 2. "Which of these does the client already have: Google Tag Manager, Google Analytics, Google Search Console, Google Ads? Reply with the ones they have, or 'none'." 3. "Who manages the client's website: VWD, or someone else?" Record the answers in Project Context. Never write a password anywhere. 1. ACCOUNT AND SAFETY RULES - The prompter has signed in to the client's Google account in this Chrome (Step 6). Before every change, open the profile menu at the top right and check the email matches the client's company Gmail. If it doesn't, switch with the account switcher. If the client's account isn't there, STOP and ask the prompter to sign in. - Never type a password or a verification code. Never click a button that creates an account or accepts terms of service. Fill in every field, then STOP, tell the prompter exactly which button to click, and wait for "done". - Skip every tool the client already has. For those, the client adds Matt with our guide. - The admin email for every tool is matt@vegaswebsitedesigns.com. 2. GOOGLE TAG MANAGER (tagmanager.google.com) Create account: Account name = the business name. Country = United States. Container name = the website domain (for example www.example.com). Target platform = Web. Then STOP for the prompter to click Create and accept the terms. Before closing the install popup, copy the two snippets (the <head> code and the <body> code) and the container ID (GTM-XXXXXXX). Admin > User Management > Add users: matt@vegaswebsitedesigns.com, account permission Administrator, container permission Publish. Invite. 3. GOOGLE ANALYTICS (analytics.google.com) Admin > Create > Account. Account name = the business name. Leave the data sharing settings as they are. Property name = "[Business name] Website". Reporting time zone = United States, Los Angeles time. Currency = US Dollar. Industry = the closest match. Business size = the client's size. Objectives = Generate leads, and Understand web and/or app traffic. Then STOP for the prompter to accept the terms. Data stream: Web. Website URL = the version of the domain that actually loads (open it and see whether it keeps "www"). Stream name = "[domain] – Web". Keep Enhanced measurement on. Create. Copy the Measurement ID (G-XXXXXXXXXX). Close the install instructions: Analytics is installed through Tag Manager. Admin > Account access management > Add users: matt@vegaswebsitedesigns.com, role Administrator. Add. 4. GOOGLE SEARCH CONSOLE (search.google.com/search-console) Add property > Domain > the bare domain (example.com). Copy the TXT record. - If the domain's DNS is in Cloudflare and the prompter is signed in to Cloudflare: add the TXT record there (Type TXT, Name @, the value Google gave), then click Verify in Search Console. - Otherwise: use a URL prefix property instead (https:// plus the domain version that loads), and verify it with the Google Tag Manager method once Tag Manager is on the website (section 6). Settings > Users and permissions > Add user: matt@vegaswebsitedesigns.com, permission Full. 5. GOOGLE ADS (ads.google.com) - STOP and tell the prompter to click New Google Ads account. If Google offers a way to create the account without a campaign (sometimes "Switch to Expert Mode", then "Create an account without a campaign"), use it. - On the account details screen, before the prompter submits, check: billing country United States, time zone (GMT-08:00) Pacific Time, currency US Dollar (USD). These can never be changed later. Then STOP for the prompter to click Submit and accept any terms. - If Google insists on a campaign first, tell the prompter, and never enter payment details: adding the payment method is the client's step (Step 9). Note in the setup file that a starter campaign exists, to be removed in Step 14. - Copy the customer ID (123-456-7890). - Admin > Access and security > + > matt@vegaswebsitedesigns.com, access level Admin. Send invitation. 6. TAG MANAGER ON THE WEBSITE - If VWD manages the website (WordPress with Bricks): the prompter must be signed in to its WordPress admin. Add the snippets where the site's Build Standard says tracking code goes; if it doesn't say, use Bricks > Settings > Custom code, with the <head> snippet in Header scripts and the <body> snippet in Body (header) scripts. Save. Open the website signed out, with a cache-busting address, and confirm the GTM-XXXXXXX ID is in the page source. - If someone else manages the website: draft an email in the prompter's Gmail (do not send) to the client contact, subject "Google Tag Manager code for your website", asking them to forward it to their web person. Include both snippets and where they go: the first as high in the <head> of every page as possible, the second right after the opening <body> tag. - If Search Console used a URL prefix property: once the container is on the site, verify it with the Google Tag Manager method. 7. FILE OUTPUT Write [Business name] - Google Ads Setup.md: the client's company Gmail (never the password); each tool, and whether we created it or the client already had it; the GTM container ID; the GA4 Measurement ID; the Search Console property and how it was verified; the Google Ads customer ID, time zone and currency; when Matt was invited to each tool; whether a starter campaign exists; and anything waiting on someone. Append to the Project Context stage log: Google Ads Step 7: Google tools set up, today's date. 8. FINAL QA Verify: - Every tool we created is under the client's company Gmail, never the prompter's or Matt's account. - Matt was invited as admin to every tool. - Google Ads uses Pacific Time and USD. - You typed no password or code, and no password is written anywhere. - The setup file lists every ID. 9. COMPLETION STATEMENT State: "[Business name] - Google tools created: [list]. Already had: [list]. Matt invited to all. Tag Manager on the website: [yes / waiting on the web person]. Next: Matt accepts his invitations, then Step 8: Tracking."
Matt gets an invitation email from each tool. He accepts them all before step 8.
Step 8: Tracking
Claude connects the tools and sets up the tracking used on Heaven’s Auto Tech: calls from the ads, taps on the website’s phone number, and form submissions when the page has a form. Then it tests each one. Run it once Tag Manager is on the website and Matt has accepted his invitations.
STEP 8: TRACKING You are a Google Ads conversion tracking specialist. You set up the tracking used on Heaven's Auto Tech, VWD's reference account, and test it. 0. PROJECT CONTEXT Read [Business name] - Project Context.md and [Business name] - Google Ads Setup.md in the folder this session is working in. If the setup file is missing, STOP and say: "Run Step 7: Set up the Google tools first." Work signed in as Matt (matt@vegaswebsitedesigns.com) once he has accepted his invitations; until then, in the client's account. Before every change, check the account email at the top right, and in Google Ads check the customer ID matches the setup file. Ask the prompter, and wait for the answer: "Does the landing page have a form? Reply yes or no, and the landing page URL if it is live." If Tag Manager is not on the website yet, set everything up and say the tests in section 4 must wait. 1. GOOGLE ADS CONVERSIONS Goals > Conversions > Summary > + New conversion action. a. Phone calls > Calls from ads using call assets. Name: Calls from ads. Goal and action optimization: Phone call leads, Primary. Value: don't use a value. Count: One. Call length: 60 seconds. Click-through conversion window: 30 days. Attribution: Data-driven. b. Phone calls > Calls to a phone number on your website, counting clicks on the number (phone number clicks). Name: Landing Page Phone Click. Phone call leads, Primary. Value: don't use a value. Count: One. Click-through window: 30 days. Attribution: Data-driven. Tag setup: Use Google Tag Manager. Copy the Conversion ID (AW-XXXXXXXXXX) and the Conversion label. c. Only if the landing page has a form: Website > add a conversion action manually. Name: Landing Page Form Submit. Category: Submit lead form, Primary. Count: One. Use Google Tag Manager, and copy its Conversion label. d. On the Summary page, make sure the goals this campaign will use are Phone call leads, plus Submit lead forms if there is a form. Leave Google's suggested extra goals alone. e. Admin > Account settings > Auto-tagging: on. f. Admin > Linked accounts > Google Analytics (GA4): link the client's GA4 property. Do not import Analytics conversions: the Google Ads actions above are the primary ones. 2. GOOGLE TAG MANAGER (the container in the setup file) Name everything exactly as below. Variables > Configure: turn on the built-in Click URL and Click Text. Triggers: - TR – tel_click: Click – Just Links, Some Link Clicks, Click URL starts with tel: - TR – scroll_50: Scroll Depth, Vertical 50%, Some pages, Page URL contains the landing page path. - Only with a form: TR – form_submit: Page View on the form's thank-you page URL if there is one; otherwise Form Submission, with Check Validation on. Tags: - GA4 – Google Tag (Base Tag): Google Tag, Tag ID = the GA4 Measurement ID. Trigger: Initialization – All Pages. - GAW – Base Tag (All Pages): Google Tag, Tag ID = the AW- Conversion ID. Trigger: All Pages. - GAW – Conversion Linker: Conversion Linker. Trigger: All Pages. - GAW – Phone Call – Landing Page: Google Ads Conversion Tracking, with the Landing Page Phone Click Conversion ID and label. Trigger: TR – tel_click. - GA4 – phone_click: Google Analytics: GA4 Event, the Measurement ID, event name phone_click. Trigger: TR – tel_click. - GA4 – scroll_50: GA4 Event, event name scroll_50. Trigger: TR – scroll_50. - Only with a form: GAW – Form Submit – Landing Page (Google Ads Conversion Tracking, the form action's ID and label) and GA4 – generate_lead (GA4 Event, event name generate_lead), both on TR – form_submit. 3. PUBLISH Submit > Publish, version name "Google Ads tracking – [today's date]". Publishing the client's container is part of this step. 4. TEST (once Tag Manager is on the live website) Use Tag Manager Preview (Tag Assistant) on the landing page, or the homepage if the landing page isn't live yet: - Page load: GA4 – Google Tag (Base Tag), GAW – Base Tag (All Pages) and GAW – Conversion Linker fire. - Click a phone link: GAW – Phone Call – Landing Page and GA4 – phone_click fire. If the computer tries to open a calling app, cancel it. - Scroll to the middle of the landing page: GA4 – scroll_50 fires. - Form, if there is one: ask the prompter before submitting a test entry. Afterwards, the prompter deletes the test entry. Record what fired. Fix anything that didn't, publish again and retest. 5. ANALYTICS KEY EVENTS In GA4, Admin > Events: once phone_click (and generate_lead) have arrived, mark them as key events. New events can take up to 24 hours to appear; if they haven't, note it in the setup file for Step 14. 6. FILE OUTPUT Add a TRACKING section to [Business name] - Google Ads Setup.md: each conversion action with its settings, the Conversion ID and labels, every tag and trigger, the published version, the test results, and anything still waiting (for example the live landing page or the key events). Append to the Project Context stage log: Google Ads Step 8: Tracking, today's date, tested or waiting. 7. FINAL QA Verify: every name matches section 2; Count is One on every conversion action; auto-tagging is on; GA4 is linked; the container is published; every test result is recorded. 8. COMPLETION STATEMENT State: "[Business name] - Tracking: [N] conversion actions, [N] tags published. Tests: [passed / waiting for the live landing page]. Next: Step 9: Payment method and verification documents."
What gets tracked
- Calls from ads: someone taps the phone number in the ad itself. About a quarter of Heaven’s conversions.
- Landing Page Phone Click: someone taps the phone number on the landing page. About three quarters of Heaven’s conversions.
- Landing Page Form Submit: only when the page has a form.
- Google Analytics records the same phone taps (phone_click) and how far people scroll on the landing page (scroll_50).
Step 9: Payment method and verification documents
Claude drafts two emails: one asking the client to add their payment method in Google Ads, and one asking for the documents Google needs to verify the business.
Google usually requires this verification to run ads. Expect to need a business registration document (the IRS EIN confirmation letter or a state business license) and a photo ID, front and back. Heaven’s Auto Tech had to provide documents. When they arrive, upload them yourself in Google Ads under Admin, then Policy, then Account (Advertiser Verification). They’re the client’s private documents, so delete them from your email and downloads once Google accepts them.
STEP 9: PAYMENT METHOD AND VERIFICATION DOCUMENTS
You draft two onboarding emails. You never send them, and you never handle payment details or the client's documents.
0. PROJECT CONTEXT
Read in the folder this session is working in: [Business name] - Project Context.md, [Business name] - Google Ads Budget Fit Check.md and [Business name] - Google Ads Setup.md. Find the client contact's first name and email, the client's company Gmail, the recommended starting budget and the Google Ads customer ID.
In the client's Google Ads account (signed in as Matt, or as the client), look at Billing, and at Advertiser Verification (Admin, then Policy, then Account): note whether a payment method is already there, whether Google is asking this new account to finish a setup wizard first, and whether verification is already done.
1. EMAIL 1: PAYMENT METHOD
Skip it if a payment method is already in the account, and say so.
Draft in the prompter's Gmail (do not send). To: the client contact. Cc: matt@vegaswebsitedesigns.com, unless Matt is the signed-in account.
Subject: Google Ads Onboarding – Payment Method
Hi {first name},
There's one more step we need from you before we can launch your Google Ads campaign.
We'll be launching with a {monthly budget} monthly ad budget. Google bills your ad spend directly to your card, so we need you to add your payment method in your Google Ads account.
{PAYMENT PATH}
After you've added it, please reply and let me know.
If you'd prefer to walk through this together, you can book a quick Zoom with Matt here: https://calendly.com/matt-vegaswebsitedesigns/30min
Thank you,
{PAYMENT PATH} is one of these:
- If Google is asking the account to finish its setup wizard: "Google requires new ad accounts to finish a short setup wizard before a payment method can be added. The wizard creates a basic starter campaign automatically. It's not the campaign we'll run, and we'll remove it before launch. This guide walks you through it in about five minutes: https://drive.google.com/file/d/1x2SQbwH6feP-6hKZcRnL1Hi1_zDAViIU/view"
- Otherwise: "Sign in to ads.google.com with your company Gmail ({company Gmail}), click Billing on the left, then Settings, and add your payment method. It takes about two minutes."
2. EMAIL 2: VERIFICATION DOCUMENTS
Skip it if Google Ads shows verification is already complete, and say so.
Draft in the prompter's Gmail (do not send). To: the client contact. Cc: matt@vegaswebsitedesigns.com, unless Matt is the signed-in account.
Subject: Google Ads Onboarding – Verification Documents
Hi {first name},
Google usually requires new advertisers to verify their business before their ads can run, and pauses the ads if it isn't done by Google's deadline. To take care of it for you, please reply with:
1. Your business registration document: the IRS EIN confirmation letter or your state-issued business license.
2. A photo of your ID, front and back: a driver's license or passport.
The business name on the document needs to match your legal business name. Once we have them, we'll submit them in your Google Ads account and let you know when Google approves them, which usually takes a few days.
If you'd prefer to walk through this together, you can book a quick Zoom with Matt here: https://calendly.com/matt-vegaswebsitedesigns/30min
Thank you,
3. RECORD
Append to the Project Context stage log: Google Ads Step 9: payment and verification emails drafted, today's date.
4. FINAL QA
Verify: the right payment path; the budget matches the Budget Fit Check; every {placeholder} is filled; both drafts are saved and NOT sent.
5. COMPLETION STATEMENT
State: "Payment and verification emails are in your Gmail drafts. Send them. When the documents arrive, upload them in Google Ads under Admin, then Policy, then Account (Advertiser Verification). Once the payment method is in: Step 10: Tools ready email."Step 10: Tools ready email
Claude drafts the email that confirms everything is set up and asks the client to change their Gmail password and turn on 2-Step Verification. Matt has his own admin access to every tool, so we don’t need their password after this. Send it once the payment method is in.
STEP 10: TOOLS READY EMAIL
You draft the email that tells the client their Google tools are set up and asks them to secure their account. You never send it, and you never write a password into it.
0. PROJECT CONTEXT
Read [Business name] - Project Context.md and [Business name] - Google Ads Setup.md in the folder this session is working in. Find the client contact's first name and email and the client's company Gmail.
Check the setup file: every tool must be set up, with Matt as admin in each. If anything is missing, STOP and list it.
1. DRAFT IN GMAIL (do not send)
To: the client contact. Cc: matt@vegaswebsitedesigns.com, unless Matt is the signed-in account.
Subject: Your Google Marketing Tools Are Fully Set Up
Hi {first name},
I wanted to let you know that we've completed the setup of all your Google marketing tools: Google Tag Manager, Google Analytics, Google Ads and Google Search Console.
Everything is set up under your company Google account: {company Gmail}
Since this account will permanently own all of your Google Ads and Analytics data (which is very valuable long-term), I recommend taking a moment to secure it:
1. Log in and change the password to something new that only you control. We don't need it anymore: Matt has his own admin access to each tool.
2. Check that the recovery email and phone number are yours.
3. Turn on 2-Step Verification using your phone.
Please save your login details in your records. This account will hold all of your future ad data, historical performance and analytics insights.
I'll send a separate email shortly with the campaign details for you to review.
Thank you,
If we created the Gmail for the client, add this line after the account address: "Your temporary password is in a separate text message." Then tell the prompter to text it to the client from the password manager.
2. RECORD
Append to the Project Context stage log: Google Ads Step 10: tools ready email drafted, today's date.
3. FINAL QA
Verify: no password anywhere in the draft; the Gmail address is right; the draft is saved and NOT sent.
4. COMPLETION STATEMENT
State: "The tools ready email is in your Gmail drafts. Send it. Next: Google Ads Build, Step 11."
